Getting started
Go to pro.migrainfo.com and sign in with your Google or Microsoft work account. MigraInfo does not receive or store your password. Create your organization with its name, type, time zone and default language; you become its owner. The trial lasts 14 days at the Starter limits, 150 active cases and 3 team members, with no card needed.
A good first hour:
- Add your cases. On Cases, use Add case for one, or Import to paste a spreadsheet column or upload a CSV. See Adding and importing cases.
- Invite your team. On Team, Invite a member by email with a role. See Team and roles.
- Set up client alerts. On Clients, Copy sign-up link and put it on your intake form or at the front desk. See Clients, consent and alerts.
- Choose a plan when you're ready. In Settings under Billing. Plans start when the trial ends, so choosing early changes nothing until then.
Adding and importing cases
One case. Add case on the Cases page. USCIS receipt takes a receipt number (three letters and ten digits) and is looked up at once. Immigration court takes the A-number (seven to nine digits) and the two-letter nationality; a quick human-verification step runs in your browser because EOIR requires it.
Many cases. Import on the Cases page. Paste from Excel or Google Sheets, or choose a CSV file. Up to 500 rows per import.
- With a header row, columns are found by name in English or Spanish, in any order: Case number (or Receipt and A-number), Nationality, Case name, Matter, Client, Phone, Email, Assigned to, Tags. Download the template on the Import page to start from a sheet that already has them.
- Without a header, one case per line: the receipt number, then an optional case name and matter; or the A-number and nationality, then the name. Commas, tabs or semicolons all separate fields.
- Clients named in a row are matched to your existing clients by phone, then email, then an unambiguous name, and created when new, with no messaging consent yet. Assigned to is matched to team members by email or full name. Anything that doesn't match is shown as a warning on that row; the case is still added.
The import results say how many rows were queued, already tracked, invalid or over your plan's limit. USCIS cases are looked up within minutes. Court cases show Awaiting first check until a member opens the Cases page, which checks them one by one while the tab is open.
How monitoring works
- USCIS cases are checked automatically about once a day through USCIS's own case-status service, less often once a case is closed. You never give us a USCIS account.
- Court cases come from EOIR's public automated case information, which can only be read from a person's browser with a human-verification step. The Cases page checks them while it is open, new cases first and then any not checked in two days. Check court cases runs it again on demand.
- When something changes, the case's Last change updates, the changed section is highlighted on the case page, an entry appears on Activity, and every member who hasn't turned it off gets the Daily activity email the next morning. A member who wants to know sooner turns on Email me the moment a case changes in Settings, for their assigned cases or for every case. Change summaries are written in English and Spanish.
- Views and filters. Active, Need attention (not found or failing checks), Awaiting first check and Archived; filter by agency and by who is assigned; search by number, name, matter or tag.
- Archiving stops checks and frees the case's place in your plan. Archived cases keep their history and can be restored. Select several cases to archive, assign or tag them together.
- Export CSV downloads the rows you're looking at, as filtered, for Excel or a report.
- Saved views. Set the filters you use often, then Views, Save current filters. Views are yours, not the team's; up to 20.
Team and roles
- Owner. Everything, including billing, deleting the organization and making other owners. Keep at least two.
- Admin. Members, settings, the audit log and all case work.
- Staff. Adds and edits cases, clients, notes and key dates; sends client updates.
- Viewer. Reads cases and the activity feed; changes nothing.
On Team, Invite a member by email and role. We email the invitation; you can also copy the link. It works once, only for that email address, and expires in 14 days. Pending invitations count toward your plan's seats until they are accepted or revoked. The invitee signs in with the Google or Microsoft account that has that email. When you change someone's role or remove them, they get an email saying so and who did it.
Clients, consent and alerts
MigraInfo Pro texts and emails your clients only with a consent on file for that channel, and keeps that record for you.
- The sign-up page. Copy sign-up link on Clients gives you your organization's page. A client enters their mobile number, optionally an email, picks a language and agrees. Share the link on your intake form, your website or a sign at the front desk.
- Consent you already have. Add client and record a consent given on your intake form or in person. The record keeps who recorded it, when and how.
- Opting out. A client who replies STOP stops getting texts until they reply START; every email carries a one-click unsubscribe. Both are honored automatically and shown on the client's record.
- Your logo and color. Under Settings, Branding, add your logo and an accent color; the sign-up page and client emails then carry your identity rather than ours.
Sending updates. In Settings under Client messaging, choose what happens When a case changes: a member reviews the update and sends it with Send client this update on the case page, or it goes to the linked client automatically. Texts count toward your plan's monthly allowance (Practice 750, Firm 2,500; Starter has none); client email is included on every plan. Every message is logged on the case, including ones that were blocked and the reason, for example no consent or no linked client.
The MigraInfo app. From a case page, under MigraInfo app, Create invite link and send it to your client. The link works once and expires in 30 days. Your client signs in to the free MigraInfo app and that case appears marked as shared by your office, without using their own plan. They see status changes and dates for that case only, never your notes, team or other cases, and can stop following at any time; the case page shows since when they follow it.
Dates and reminders
Hearing dates come from the court record automatically. Add your own on a case with Add date: RFE response due, biometrics appointment, interview, filing deadline, hearing or other, with notes and an optional Client reminder.
- Dates lists everything across your cases grouped by urgency, from overdue to the next seven days and beyond. Mark a date done when it's handled.
- Reminders reach the team through Activity and the daily email: 14 days and 1 day before a hearing, 7 days and 1 day before a key date. With Client reminder on, a linked client with consent gets a text too.
- Export calendar downloads a calendar file to import into Outlook or Google Calendar.
- Subscribe in your calendar gives you a personal link that Google Calendar, Apple Calendar or Outlook refresh on their own, about hourly, with every hearing and open key date. The link is shown once; anyone who has it can read these dates. Create a new one if it leaks, or remove it to stop the subscription.
Plans and billing
Every organization starts with a 14-day trial at the Starter limits, no card needed. Plans are per organization, not per seat: Starter $149 a month for 150 active cases and 3 team members; Practice $249 for 500 cases, 10 members and 750 client texts a month; Firm $349 for 2,000 cases, 25 members and 2,500 texts, plus packs of 500 more cases for $75 a month each, up to 5,000. Client email alerts, hearing and deadline reminders, import and export are on every plan. For more than 5,000 cases or invoiced billing, write to pro@migrainfo.com.
- Choosing a plan. An owner opens Settings, Billing, picks a plan and continues to Stripe's secure checkout. During the trial you are not charged until the trial ends. Checkout asks for your billing address and tax ID so they print on every invoice.
- Manage billing opens your billing portal: change plan (prorated), update the card, download invoices, or cancel at the end of the paid period. Case packs on Firm are changed in Settings directly.
- If a payment fails, monitoring continues while the card is retried over a few days and the owners get an email. If it keeps failing, the subscription ends and automatic checks and client alerts pause; everything you entered stays, and choosing a plan again resumes at once.
- When a trial ends without a plan, the same pause applies: your data stays for 90 days so you can export it or choose a plan, and monitoring restarts when you do. After 90 days the organization is deleted; the owners get an email two weeks before.
- Enterprise organizations are billed by invoice on the terms in their contract (net 30 by default), payable by card or bank transfer from the invoice email, with a purchase-order number on every invoice if you use one. Manage billing shows your invoices and payment methods; contract changes go through pro@migrainfo.com.

Your data
- Export all data (Settings) downloads everything in the organization as one file: cases with notes and status, clients and consents, key dates, messages, activity and the audit log. Owners and admins.
- Audit log shows who changed what, newest first: membership, roles, settings, billing, imports, consent and messages. Owners and admins.
- Reports (owners and admins): a monthly report of cases by agency, status, team member and tag, changes detected, hearings and key dates, client messages and consents. Download it as CSV or print it to PDF, for your board or a grant report. On a phone, Reports is under Settings.
- Delete organization (Settings, owners) schedules deletion in 30 days and stops the subscription from renewing. You can cancel until the deletion date; after it, everything is removed.
- How we protect it: the security page and the privacy policy.
Common questions
- A court case still says "Awaiting first check".
- Court cases can only be checked from a member's browser. Open the Cases page and leave the tab open; it works through them. Check court cases starts it again right away.
- A case says "not found".
- USCIS or EOIR answered that no case exists under that number. Check the number for a typo and add it again. A receipt number has three letters and ten digits; an A-number has seven to nine digits.
- Why was a text blocked?
- The case page shows the reason next to the blocked message: no client linked, no consent for texts, no mobile number, the month's text allowance used up, a plan without texting, or the subscription not being active. Fix the cause and send again.
- Can clients see our notes or other cases?
- No. A client who follows a case in the MigraInfo app sees that case's status and dates, nothing else. Notes are visible only to your organization's members.
- Do you log in to USCIS or EOIR for us?
- No. We read USCIS's case-status service and EOIR's public case information, and never ask for your agency credentials.
- Is MigraInfo Pro docketing or practice-management software?
- No. It monitors agency status, flags changes and dates, and keeps clients informed. Your organization stays responsible for its deadlines and client communications.
